CORE PURPOSE OF JOB

The Department of Statistics at Nelson Mandela University (NMU) it a vibrant department which is passionate about excellence in the field of Learning & Teaching, Research and engagement in the community. The purpose of the job is to provide and coordinate the administrative functions of the Department of Statistics by providing administrative support to staff and students in the department, ensuring the smooth administrative functioning of the department, maintaining the department’s computer laboratories, and providing support for the academic and teaching project of the department.

The implementation of the science faculty strategic plan for 2030 has the statistics department falling into two clustering. One including the Mathematical and Computational Sciences and the other X-Stream (X refers to cross-,multi-,inter,- or trans-disciplinary) which creates an increased use of the computer laboratories across multiple disciplines. The implementation of this plan will need to be imposed at the statistics computer laboratory to ensure the new structure of the faculty is completed

The increase for statistics in the data science has also created a demand to train students in the analytical domain, meaning that the laboratory assistance and functionality of these venues need to be of the highest quality and maintained throughout the year.

KEY PERFORMANCE AREAS

  • Provide general administrative and technical support to staff and students.
  • Provide administrative support for staff related to financial and other related tasks, including submission of requisitions, and liaising with the finance office.
  • Handle the capturing of and finalization of marks on the ITS system and be the department’s liaison with the assessment office,
  • Maintain the department’s computer laboratories (including hardware and software) in collaboration with the ICT department. This also includes planning and administration of the facility.
  • Provide other general support for advisory board meetings, timetables and venue booking, maintain and prepare department’s documents for audit purposes.
  • Provide administrative support when the departmental secretary is unavailable.
  • Ensure the department storeroom is stocked and place relevant orders for stock and other departmental equipment.
  • Maintain all printer and order replacement toners/paper as needed.
  • Perform any other related duties as and when required.

CORE COMPETENCIES

  • Excellent administration and records management skills.
  • Ability to work on own initiative, priorities, planning and organizing.
  • Be flexible and adaptable and be open and receptive to changes and demonstrate the ability to multitask, shift priorities and incorporate new ideas.
  • Good knowledge of computer systems with the ability to install, update and maintain laboratory computers.
  • Have an in-depth knowledge of the university’s existing ITS system.
  • Very good interpersonal, ethical and communication skills.
  • Excellent email etiquette.

Requirements

  • Grade 12 or equivalent.
  • Fully proficient in all Microsoft Office software (Excel, Word, Teams etc.)
  • A minimum of 3-years related administrative experience.
  • Experience using the university’s ITS system will be an added advantage.
  • Demonstrated competence in maintaining computer labs.
  • Additional administration courses would be advantageous.
